How to Use Zoom for Online Counselling: A Simple Guide

If you’re new to online therapy, and never used Zoom for online counselling, you’re not alone. Many clients are trying virtual sessions for the first time, and it’s perfectly normal to feel a bit unsure about how it all works. This guide is here to walk you through the simple steps of using Zoom for your counselling sessions — so you can feel comfortable, prepared, and focused on what really matters: your wellbeing.

1. Before Your Session

  • Download Zoom
    You’ll need to install the Zoom Cloud Meetings app on your phone, tablet, or computer. It’s free and quick to set up. You can download it from zoom.us/download or your app store.
  • Receive Your Zoom Link
    Before your appointment, I’ll send you a unique Zoom link and Meeting ID. This is what you’ll use to access the virtual waiting room at your scheduled time.
  • Test Your Tech
    Make sure your camera, microphone, and speakers/headphones are working properly. If it’s your first time using Zoom, you might want to do a short test call with a friend.
  • Choose a Private, Comfortable Space
    Find a quiet, private area where you won’t be disturbed. This will help you feel safe and able to speak openly.
  • Set the Scene
    Try to sit somewhere with good lighting so I can see you clearly. Choose a stable seat where you feel at ease.

2. During the Session

  • Join the Waiting Room
    At the time of your session, click the Zoom link I provided. You’ll enter a virtual waiting room, and I’ll admit you once I’m ready.
  • Allow Audio & Video
    Zoom may ask permission to use your camera and microphone — please allow this so we can see and hear each other.
  • Wait to Be Let In
    I’ll let you into the session at our agreed time. 
  • Follow the Flow
    Just like in-person sessions, you are welcome to speak freely. If anything feels unclear or uncomfortable, please say so.
  • Don’t Want to See Yourself on Screen? Many people find it distracting or uncomfortable to see their own face during a session. You can easily hide your self-viewin Zoom while still being visible to your therapist:
    • On a Computer: Click the three dots (“…”) in the top-right corner of your video box, then select “Hide Self View.”
    • On an iPhone or iPad: Tap your video thumbnail, then choose “Hide Self View” from the options.
    • On Android phones or tablets: Tap your image, then tap the three dots and select “Hide Self View.”

         This only hides your own video feed from your screen — I’ll still be able to see you. You can            always bring it back by clicking “Show Self View.”

  • Leaving the Session
    When we’re finished, click “Leave Meeting” (usually at the bottom right of the screen).

3. Tips for a Smooth Experience

  • Confidentiality Matters
    Make sure you won’t be overheard. Use headphones if needed, and avoid shared or public spaces.
  • Non-Verbal Cues
    Body language, posture, and facial expressions still play a big part online. Try to stay engaged and present.
  • Tech Glitches Happen
    If something goes wrong — don’t panic! Just try rejoining the session, or contact me if the issue continues.
  • Camera Framing
    Set your camera so I can see your full face and shoulders. This helps with communication and connection.
  • Be Present
    Turn off notifications, put your phone on silent, and avoid multitasking during the session.
  • Speak Up
    If anything feels off — whether technical or emotional — you’re welcome to share it during the session.

Wrapping Up

Online therapy can be just as effective as face-to-face counselling when you’re prepared and comfortable with the setup. My aim is to make this experience as smooth and supportive as possible for you.
